Energy Management in Schools, Academies and Trusts

Energy management in schools means balancing rising costs, tightening net-zero targets, and multi-site budgets, usually without a dedicated energy team. We help schools, academies and multi-academy trusts control energy costs, meet compliance and reporting requirements, and plan spending with confidence.

Why Energy Management in Schools Matters

A single-site primary school and a ten-site multi-academy trust use energy very differently, and a generic procurement approach doesn’t serve either well. A tailored energy strategy can bring contracts, consumption data and cost control together across your estate, giving schools and trusts greater visibility over four areas that directly affect their budgets.

Aligned Renewal Dates

We work towards aligning contract end dates across a trust’s sites, reducing fragmented renewals and creating opportunities to procure energy across a larger combined portfolio.

Budget Certainty for Governors and Trustees

Energy costs that are forecastable rather than a source of in-year surprises for finance committees.

Usage Data You Can Act On

Smart sub-metering that supports cost control and the environmental reporting that is increasingly expected in DfE funding applications.

Protection from Mid-Contract Price Shocks

Procurement planned across the wider estate helps trusts manage individual site exposure and reduce the risk of unexpected costs disrupting the wider budget.

The Energy Management Challenges Facing Schools and Multi-Academy Trusts

Multi-site estates, fixed public or charitable budgets, and growing expectations around energy and carbon performance make schools and trusts a distinct energy management challenge. Sites can sit on different contract cycles, with different suppliers, meters and tariffs. At the same time, responsibility for energy often falls to a school business manager, estates lead, or finance team already managing a much wider workload.

For multi-academy trusts, that fragmentation can make it difficult to see what the estate is actually spending, compare performance between sites, or coordinate procurement around the wider trust budget. At individual schools, limited consumption data can make it equally difficult to identify where energy is being wasted or whether efficiency measures are delivering the expected savings.

The Department for Education’s 10-Year Education Estates Strategy, published in February 2026 and backed by £38 billion in capital investment, adds to that pressure by explicitly calling for energy-efficiency upgrades, renewable generation, and low-carbon heating to make every school net-zero ready.

How Renew & Sustain Supports Schools and Trusts

We bring energy procurement, consumption data, and ongoing account management together, helping schools control costs without adding another energy management workload to already stretched estates and finance teams.

Energy Procurement Across Multiple Sites

We consolidate purchasing power across your entire estate to eliminate fragmented, out-of-sync contracts. By synchronising renewal dates into co-terminus agreements and aligning purchasing windows with your annual funding cycles, we secure volume-backed supplier rates that provide reliable budget certainty for governors and finance committees.

Smart Sub-Metering and Consumption Monitoring

Ageing school estates frequently leak budget through unmonitored out-of-hours baseloads and inefficient plant schedules. We deploy smart sub-metering across individual school blocks, catering halls, and sports facilities, pinpointing consumption anomalies in real time while delivering the granular, auditable data required for DfE environmental reporting.

School Energy Audits

Our non-disruptive school energy audits give estates leads an objective, data-backed assessment of building performance, heating distribution, and lighting efficiency. We deliver an actionable, cost-ranked priority matrix showing exactly which capital improvements will generate measurable utility savings and strengthen future grant applications.

Ongoing Account Management

Multi-site utility billing places a heavy operational strain on administrative teams. Our consultants handle ongoing invoice validation, resolve billing disputes, verify Climate Change Levy exemptions, and track supplier communications directly to ensure your budgets remain protected long after contracts are signed.

Energy Management for Multi-Academy Trusts

Managing energy across a multi-academy trust creates a different set of challenges from managing a single school. Sites may have joined the trust at different times, inherited different suppliers and contracts, or operate with different metering arrangements. That can leave central finance and estates teams without a consistent view of cost or consumption across the portfolio.

Renew & Sustain helps trusts bring that information together. We review contracts and renewal dates across individual academies, identify opportunities to align procurement, and use consumption data to highlight differences between sites. We give central teams a clearer view of where money is being spent, which sites require attention and when future purchasing decisions need to be made.

Renew & Sustain’s UK Commercial Energy Cost Index groups independent schools and universities within its education dataset. It provides useful sector context, although individual school consumption varies considerably according to building age, estate size, heating systems, occupancy and facilities.

Renew & Sustain’s UK Commercial Energy Cost Index groups independent schools and universities within its education dataset. It provides useful sector context, although individual school consumption varies considerably according to building age, estate size, heating systems, occupancy and facilities.

Sector: Education (independent schools and universities)

Energy Intensity: 78 kWh/m² per year

Typical Annual Cost: £50k to £800k

Non-Commodity Charge Exposure: Medium, still significant given non-commodity costs now make up roughly 64% of a typical UK business electricity bill

Overall Risk: Medium, lower than Manufacturing or Food & Beverage, but still a material cost pressure for most schools and trusts.

With demand for capital funding significantly exceeding the number of successful projects, schools and trusts still need a plan for controlling day-to-day energy costs regardless of whether a particular funding bid succeeds. Ongoing energy procurement and account management therefore remain important alongside capital improvement programmes.

Energy Management in Schools: FAQs

Common questions from school business managers, trust finance directors and governors about managing energy costs, contracts and compliance across school sites.

Common questions from school business managers, trust finance directors and governors about managing energy costs, contracts and compliance across school sites.

Schools can reduce energy costs by combining effective procurement with better visibility of how and where energy is being used. That can include reviewing contract timing and tariffs, checking bills and non-commodity charges, using sub-metering to identify unusual consumption, and carrying out a school energy audit to prioritise efficiency improvements. For multi-academy trusts, aligning procurement and comparing consumption across sites can also reveal opportunities that aren’t obvious when each school is managed separately.

Generally, no. Academies and trusts were reclassified as public sector bodies in 2010, and ESOS does not usually apply to public sector organisations. Independent (fee-paying) schools aren’t public sector, so they can qualify if they meet the ESOS large undertaking threshold: 250 or more staff, or turnover over £44 million and a balance sheet over £38 million. Net zero expectations for academies and trusts come mainly from the DfE’s own Estates Strategy and funding conditions rather than ESOS.

Many trusts can access compliant public-sector procurement routes, including Crown Commercial Service frameworks, in the same way local authorities and NHS trusts do. Our Public Sector work covers this in more detail, and we can help you understand which routes apply to your trust’s structure.

We review every site’s current contract and work towards aligning renewal dates across the trust through energy procurement, so future negotiations happen from a position of combined purchasing power rather than one small site at a time.

Yes. Smart sub-metering and ongoing account management build the usage data that supports both cost control and the environmental reporting increasingly expected in DfE funding applications and the Estates Strategy.

Yes, single-site schools and large multi-academy trusts are both welcome to get in touch. The right level of support depends on your site count and current contract position, not the size of your organisation.
